SoapTech HQ Privacy Policy

SoapTech HQ ("the app") is an Android app for small-batch soap, candle and cosmetic makers. It is published by Scott Atkins, Western Australia ("we", "us"). This policy explains what information the app handles.

1. Information stored on your device

Everything you enter (recipes, ingredients, suppliers, stock, batches, sales, invoices, notes, settings, staff profiles and photos you choose) is stored locally on your device. We do not run a server and we do not receive a copy of this data.

2. Information you choose to send to third parties

The app only contacts outside services when you turn a feature on or use it, and it uses accounts and keys that you supply:

• AI features (assistant, import from photos or text). If you enter your own OpenAI API key, the text or photos you submit for that request are sent to OpenAI to get a result. OpenAI's terms and privacy policy apply to that data.
• Cloud sync. If you connect your own Firebase project, selected app data is sent to and stored in that project, which you control.
• Posting and messaging. If you add credentials for services such as Facebook, Bluesky or Telegram, the app sends the posts or messages you create to those services.
• Email. If you connect a mailbox, the app connects directly from your phone to your email provider using an app password you enter. The password is stored only on your device. Messages are read and sent between your phone and your provider; we never receive them.
• Online shop. If you connect a Shopify store, product and order data is exchanged between your phone and your shop using a token you enter, stored only on your device.
• Links. Buttons that open websites, maps or other apps (for example market listings, Google Maps or social sites) hand you over to that service.

We do not sell your data and we do not use advertising or analytics services in the app.

3. Permissions

• Camera and photos: to scan documents or labels, attach photos, or set a personal background image. You choose each photo; it stays on your device unless you use a feature in section 2.
• Notifications: to show reminders such as low stock or deadlines.
• Location (while the app is in use): optional, to find markets and places to sell near you. It is not sent to us or stored by us.
• Bluetooth / nearby devices: optional, to connect to a Bluetooth kitchen scale.
• Microphone / speech: for voice dictation and read-aloud features, handled by your device's speech services.

4. Children

The app is intended for adults running a small business and is not directed at children under 13.

5. Security and retention

Data stays on your device until you delete it or uninstall the app. API keys and credentials you enter are stored on your device only. You are responsible for keeping your device and accounts secure.

6. Your choices

You can delete any record in the app, remove stored keys in settings, or uninstall the app to remove local data. For data held by third-party services you used (for example OpenAI or Firebase), contact those services.

7. Changes

If this policy changes, the updated version will be posted at this address with a new date.
